RFP Docket

A product by MM Sanford

Find the public bids you can win. Run every one to the deadline.

RFP Docket watches 550+ government purchasing portals — federal, state, county, city, school district and university — and shows you the solicitations that match the work you actually do. Then it turns each bid you chase into a dated checklist your whole team can see.

RFP Docket does not submit bids on your behalf. You still upload to the agency’s portal. It makes sure that what you upload is complete.

It replaces the folder of bookmarks, the morning of twenty tabs, and the spreadsheet only one person understands.

What it does

  • Watches every portal you care about, so nobody has to
  • Ranks what it finds against the work you have actually won, and shows its reasons
  • Puts the whole team on the same list, with owners and dates
  • Turns page 34’s requirements table into a working checklist
  • Tells you before a portal registration lapses

What it doesn’t

  • Submit the bid for you — agencies require their own portal
  • Write or grade your proposal text — the words are yours
  • Store your portal passwords — we deliberately don’t hold them
  • Promise you’ll win more. It promises you’ll be ready

Discover

One feed instead of twenty tabs.

Federal, state, county, city, university and cooperative sources, ingested on a schedule and normalized into one record shape: title, agency, jurisdiction, posted date, deadline, source link. Saved searches run overnight, and what is new lands in one email.

  • Filter to your own state — and a state includes the cities, counties and campuses inside it
  • Keywords that must appear, and keywords that disqualify
  • Set-asides you qualify for, which hides reserved work without hiding unrestricted work
  • An amended solicitation is flagged as changed rather than re-listed

Triage

One shared board, seven stages, one owner each.

Watching, Reviewing, Go, Submitted, Awarded, No-Go, Lost. Every card carries an owner, a reminder date, tags and notes. The note explaining why you passed is the one you will want twelve months from now, when the same solicitation reposts.

  • Assignment to a person, visible to the whole team
  • Reminder dates that fire before the deadline, not on it
  • A no-go leaves the feed and stays gone
  • CSV export of the whole pipeline

Assemble

The requirements table on page 34, turned into a checklist.

Every solicitation buries its real requirements in an attachment table halfway through the document. Each pursuit gets a room: the required items as a checklist, an owner and due date per item, the submission method, and a countdown that is not a surprise.

  • Per-item owners and internal due dates, ahead of the real one
  • Addenda logged as they drop, with the checklist updated
  • An internal milestone for sending questions to the buyer, dated ahead of the deadline
  • A completeness count you can read at a glance

  • Category tabs for Federal, State, University, County and Co-op
  • Usernames and login notes on the record

Small businesses with no bid desk

Why we built it

We built this for ourselves first.

RFP Docket does not submit bids on your behalf.

Agencies require submission through their own portal, under an account in your name. It does not store portal passwords either — usernames and notes, yes; passwords, no.

MM Sanford is a marketing analytics and technical SEO consultancy in Green Bay, Wisconsin. We work where generic playbooks fall apart — government agencies, universities and B2B enterprises — and a meaningful share of that work is public sector: school districts, counties, state agencies, university systems.

Which means a meaningful share of our own new business depends on finding solicitations published across portals that have nothing to do with each other. For a long time that was a person with twenty browser tabs and a calendar reminder. We would find a good fit three days after it closed, or discover on submission morning that a state registration had lapsed in the spring.

So we wrote a pipeline that read the portals we cared about and dropped matches into one list. Then a tracker, because the list was not the hard part — keeping the paperwork straight was. Then a registration tracker, after the second time a lapsed account nearly cost us a bid. RFP Docket is that internal tool, made into a product.

The portals it knows best are the ones we bid into ourselves. When one of them quietly changes its search form, it breaks our own bidding first.

Tell us what you bid on. We’ll show you what’s open today.

Two minutes to set up your first saved search. No card, no call.
